Position Overview
As our new Client Concierge Lead, you will not only deliver
GOLD-level patient experiences but also help lead and support the
front office team. This role is perfect for someone who thrives in
customer service, understands the intricacies of front office
operations, and is ready to take the next step in leadership.
You'll be the go-to expert on our EMR system (Zenoti), assist in
training new team members, help oversee social media initiatives,
and serve as the first layer of leadership for the concierge staff.
This position reports directly to the Practice Manager.
Responsibilities

- Set and uphold the GOLD standard of customer service by
consistently delivering exceptional experiences and coaching team
members to do the same. - - - -
- Welcome patients warmly and professionally, ensuring every
guest feels seen, valued, and supported from the moment they
arrive. - - - -
- Guide and support the concierge team in managing and adjusting
appointments efficiently, prioritizing smooth patient flow and
communication. - - - -
- Act as the Zenoti EMR system expert, responsible for training
new hires, mentoring current staff, and staying updated on system
enhancements. - - - -
- Address and help de-escalate patient concerns with
professionalism and empathy, managing initial callback responses
when needed. - - - -
- Collaborate with the Practice Manager to coordinate social
media content, organize social media days, and manage content
management systems. - - - -
- Serve as the first line of leadership for the concierge team,
managing time-off requests, resolving workflow or patient-related
questions, and providing daily guidance. - - - -
- Help maintain a clean, organized, and welcoming environment in
all front-of-house and common areas. - - - -
- Assist with supply ordering and inventory oversight to ensure
the team is always equipped to deliver top-tier service. - - -

- Participate in interviewing and onboarding new front office
team members, supporting a seamless transition into the role. - - -

- Ensure consistent compliance with company policies and uphold
patient privacy and care standards across all front office
activities. - - - -
- Contribute to a positive team culture through proactive
communication, support, and ongoing collaboration with

Qualifications

- HS Diploma Required - - - -
- Minimum 6 years of customer service experience, including at
least 2 years in a healthcare setting. - - - -
- Minimum 1 year of leadership or training experience required. -

- Proficiency in scheduling software and office systems required;
Zenoti experience preferred. - - - -
- Excellent verbal and written communication skills - - - -

- Detail oriented, reliable and able to multi-task in a
fast-paced, high-volume work environment.
