Clinic AdministratorPosition OverviewThe Lopez Team Clinic Administrator PROTECTS our business by performing key compliance, operational and administrative functions in accordance with established policies and procedures. They are accountable for, and consistently adhering to, Massage Envy's compliance policies and Code of Conduct. They ensure clinic standards are met and live Massage Envy Values every day.Requirements: Full Time. Must have administrative and customer service experience with verifiable detail orientation. Be able to work through problems and provide a solution quickly, independently and accurately. Provide leadership to the Clinic Team to achieve goals and help drive Key Performance Indicators. Staff accountability is crucial in meeting our business goals, providing coaching and counseling to employees on a consistent basis is imperative. Daily communication and consulting with Area Manager(s) to keep them apprised of employee concerns.Good to Know: Our customers expect us to "look the part", so we strictly enforce our dress code. Our schedules are based on the needs of our customers, therefore work schedules will vary and not every request can be accommodated. We do not tolerate drama, gossip or unprofessional behavior. Ever. If you see it, address it, report it, and/or stop it.Compliance with Operational & Administrative Standards, Policies, Processes and ProtocolsAll Massage Envy locations have a single set of operating standards, meaning there is only ONE right way to do things. Your role is to make sure all employees adhere to those standards. That requires you to perform regular, rigorous inspection and audits.You are the LEAD and point of contact when your clinic receives an audit from the franchisor (Corporate). Make sure your clinic is ready, since you're accountable for the results.Our employees are required to complete Massage Envy training at point of hire, prior to being placed on the schedule, and then every year in perpetuity. Failure of completion by even one employee puts our entire business at risk. It's your job to verify completion training and ensure nobody slips through the process.Clinic Administrators have competing priorities, time management is essential and a key element to your success. Use your calendar to schedule meetings, audits and recurring tasks. Delegating responsibilities and tasks to Leads and appropriate staff can be helpful in managing the day to day operations of the business. Prioritizing and attention detail is the best and highest use of your time.Audits include but are not limited to membership verifications, cash handling, and PCI Compliance.We are committed to the safety of our employees and guests; risk management is a critical part of your job.Ensure quality and keep complete accurate records.Accurately complete payroll, inventory, ordering, employee review tracking and postings and other key administrative functions according to established processes and timelines.You are the primary source to keep the clinic organized. Report and manage any facility maintenance issues. Ensure adherence to seasonal merchandising, business licenses and postings. Ensure clinic files and documents are maintained, secured and routinely purged.Complete cash process reconciliation and audit - verify accuracy.Assist Area Manager(s) with Monitoring Service Provider schedules, call outs, and utilization.Ensures compliance with federal and state regulations and labor laws. Maintains required employment documentation.Leadership & Culture: Values, Teamwork, Communication, Decision-Making & Employee SatisfactionYou are Manager-On-Duty: ensure staff follows processes; solve problems; communicate issues to Area Manager(s).Be known by others as a great communicator. Keep everyone in the loop.Create a positive, productive work atmosphere. Go out of your way to catch people doing things right.Actively seek best practices and supplemental leadership training.Assist with special projects, job-related assignments, meetings and offsite events as needed.   • Bachelor's degree minimum
  • Bonus Structure based on Clinic Performance
  • Your choice of work schedule either option 1 or 2
  • Supervising personnel; enforcing policies and procedures
  • Approval of budgets and pay scales
